WhatsApp Business Integration
Send order confirmations, delivery updates, and payment reminders to customers and suppliers via WhatsApp Business Cloud API.
Overview
Talos integrates with the WhatsApp Business Cloud API to send notifications directly to your customers and suppliers on WhatsApp.
Use it for order confirmations, purchase order notifications, delivery updates, payment reminders, and quality issue alerts — all from within Talos.
What You Need
- A Meta Business Suite account (business.facebook.com)
- A WhatsApp Business phone number (verified)
- An API token from the Meta Developer Portal
Step 1 — Set Up Meta Business Suite
- Go to business.facebook.com and create a Meta Business account if you don't have one.
- Complete business verification (requires business documents).
- Once verified, your Business Suite dashboard will be ready.
Step 2 — Add WhatsApp Business
- In Meta Business Suite, go to Settings > WhatsApp.
- Click "Add Phone Number" and enter your business phone number.
- Complete the verification process (SMS or voice call to the number).
Step 3 — Get API Credentials
- Go to developers.facebook.com and create a new App with type "Business".
- Add the "WhatsApp" product to your app.
- In the WhatsApp section, find your Phone Number ID.
- Generate a permanent access token (or use the temporary token for testing).
| Field | Where to Find |
|---|---|
| Phone Number ID | WhatsApp > Getting Started > Phone Number ID |
| Bearer Token | WhatsApp > Configuration > Permanent Token (or System User token) |
Step 4 — Create Message Templates
WhatsApp requires pre-approved message templates for business-initiated messages. Create templates for your common use cases:
- Order confirmation — notify customers when their order is accepted
- Delivery notification — inform customers about shipment details
- Payment reminder — remind customers about outstanding invoices
- Quotation — send price quotes to customers or suppliers
Submit templates for Meta review in the WhatsApp Manager. Approval typically takes 1-2 business days.
Step 5 — Configure in Talos
- Go to Settings > Integrations > WhatsApp in the Talos dashboard.
- Enter your Phone Number ID and Bearer Token.
- Click "Test" to send a test message to your own number and verify the connection.
What You Can Do
Once connected, Talos can send the following types of WhatsApp messages:
- Send text messages to any phone number (with country code, e.g. +90...)
- Send PDF attachments (invoices, delivery notes, quotations)
- Send pre-approved template messages (order confirmations, reminders)
- Receive replies via webhook (incoming messages appear in Talos)
Use Cases for Manufacturing
- Order confirmations to customers — automatically notify when a sales order is created
- PO notifications to suppliers — send purchase order details to your suppliers
- Delivery tracking updates — inform customers when shipment leaves your facility
- Payment reminders — send friendly reminders for overdue invoices
- Quality issue alerts — notify suppliers about non-conformance reports on their materials

Security
- All WhatsApp messages are end-to-end encrypted by WhatsApp's protocol.
- Message templates are reviewed and approved by Meta before they can be used.
- No bulk messaging without customer opt-in — WhatsApp enforces strict anti-spam policies.
Troubleshooting
| Problem | Solution |
|---|---|
| Template rejected by Meta | Review Meta's template guidelines. Avoid promotional language, ensure the template has a clear business purpose, and include your company name. |
| Message not delivered | Check the phone number format — it must include the country code (e.g. +905551234567 for Turkey). The recipient must have WhatsApp installed. |
| Rate limit exceeded | New WhatsApp Business accounts have sending limits (250/day initially). Limits increase automatically with good delivery quality. Contact Meta support for higher tiers. |
